Payment Policy

 TERMS OF SERVICE  (Update 7/15/25)

By registering for training with Community Responders LLC, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service. These terms apply to all training courses, certifications, and services provided.


1. PAYMENT POLICIES

Individual Students

  • Immediate Payment Required: All individual students must pay in full at the time of registration through our online platform
  • No Day-of-Payment: Payment will not be accepted on the day of training unless pre-approved by management and confirmed via email
  • Appointment Confirmation: Training appointments are confirmed only upon receipt of payment


Business & Group Clients

  • Invoice Option Available: Business clients may request invoicing instead of immediate online payment
  • Payment Terms:
    • Payment due within 7 days of training request
    • If training is scheduled within the same week, payment due no later than 72 hours before training
    • Failure to meet payment deadlines will result in training cancellation unless alternative arrangements are pre-approved
  • Group Pricing: Rates based on expected attendance, course type, accreditation, and instructor requirements
  • Rush Fee: Training requests made less than 30 days in advance incur an additional $75 fee

Phone Registration Requirements

Students who register and pay over the phone must accept these terms and conditions via text message confirmation. Enrollment cannot be processed without this acceptance.

Accepted Payment Methods

  • Online payment (preferred)
  • Phone payment
  • Invoice payment
  • Cash and check (case-by-case basis, requires management pre-approval and email confirmation)

Chargeback Fee Policy

A $50 chargeback fee will be applied to any student who disputes a valid and authorized credit card charge. Students must contact our office directly to resolve billing issues before initiating any payment disputes with their credit card company.


2. REFUND POLICY

All fees are non-refundable. If a student cancels or fails to attend the session they registered for, the course fee is forfeited. However, course credit may be offered instead of a refund. If the student fails to show or does not complete the program, they forfeit their fee entirely.

Company Cancellations

In the event that Community Responders LLC cancels a training session, full refunds will be provided (except for online course components, which remain non-refundable).

Rescheduling

  • Free Rescheduling: Available at any time with proper notice, subject to availability
  • No Call/No Show Policy: See Section 3 for details


3. ATTENDANCE POLICIES

Punctuality Requirements

  • On-Time Arrival Expected: Students must arrive promptly for scheduled training
  • Late Arrival Protocol:
    • More than 10 minutes late: May be asked to reschedule
    • More than 15 minutes late without contact: Required to reschedule
  • Communication Required: Contact us immediately at 480.521.1107 if running late

No Call/No Show Policy

  • Definition: Failure to attend or contact us within one hour of class start time
  • Consequences:
    • Fee forfeited entirely
    • No rescheduling allowed
    • Must register and pay again for future training


4. REFUSAL OF SERVICE POLICY

Community Responders LLC reserves the right to refuse service to any individual for the following reasons:

Behavioral Issues

  • Disruptive Conduct: Repeated interruptions, refusal to follow course guidelines, or aggressive behavior toward staff or other students
  • Inappropriate Behavior: Engaging in discriminatory, harassing, or otherwise inappropriate conduct during training

Safety Violations

  • PPE Non-Compliance: Failure to wear required Personal Protective Equipment (PPE) during skills sessions
  • Protocol Violations: Refusal to follow established safety protocols

Policy Violations

  • Attendance Issues: Arriving more than 15 minutes late or repeated excessive rescheduling
  • Non-Adherence: Failure to comply with established class policies and procedures

Financial Issues

  • Non-Payment: Refusal or failure to pay required course fees, rescheduling fees, or chargeback fees


5. DRESS CODE & SAFETY

Required Attire

  • Comfortable Clothing: Suitable for physical activity and floor exercises
  • Appropriate Footwear: Closed-toe shoes recommended; if open-toe, must be flat (no heels)
  • Discouraged: Dresses or restrictive clothing that may limit movement during hands-on practice
  • PPE Compliance: Students must wear all required Personal Protective Equipment as directed by instructors

Safety Disclaimer

Community Responders LLC is not responsible for injuries resulting from inappropriate attire or personal clothing choices during training.


6. GROUP & BUSINESS TRAINING

Pricing & Discounts

  • Custom Quotes: Based on group size, course type, and accreditation requirements
  • Instructor Ratios: Typically 1:6 to 1:10 student-to-instructor ratio
  • Discounts: Available on a case-by-case basis

Group Size Requirements

  • Payment Obligation: Groups must pay the full quoted amount based on expected attendance
  • Adjustment Period: Changes to group size must be made at least 7 days in advance
  • Owner Discretion: Exceptions may be granted by owner approval only

Youth Training

  • All Ages Welcome: Training available for participants of all ages
  • Reduced Rates: Significantly discounted certification for children under 14
  • Age Restrictions: Children under 10 receive participation certificates instead of 2-year certification cards


7. BLENDED LEARNING REQUIREMENTS

Online Course Completion

  • Prerequisite: Online portion must be completed before attending skills session
  • Incomplete Online Training: Students arriving without completed online coursework will be required to reschedule and pay for a new skills session
  • Validity Period: Online courses must be completed within 6 months to remain valid

Cancellation Impact

  • Lost Discounts: Business and group classes canceled without advance notice forfeit any offered discounts
  • Rescheduling Option: Groups may reschedule to retain original pricing


8. PRIVACY POLICY

Data Collection

We collect personal information including name, contact details, and payment information solely for course registration, communication, and administrative purposes.

Data Protection

  • Confidentiality: All student records and personal information are maintained as confidential and stored securely
  • Limited Sharing: Personal information will not be shared with third parties except as required by law or necessary for course administration
  • Secure Storage: All data is protected using industry-standard security measures


9. LIABILITY & ASSUMPTION OF RISK

Training Risks

By participating in Community Responders LLC training, you acknowledge and assume all risks, including but not limited to:

  • Physical exertion and potential injury
  • Complications from pre-existing medical conditions
  • Accidental injury during hands-on practice

Limitation of Liability

Community Responders LLC, its instructors, trainers, and affiliates are not liable for any injuries, including death, that may occur during training, whether due to:

  • Improper technique
  • Pre-existing medical conditions
  • Accidental or intentional actions
  • Any other cause related to training participation

Medical Disclosure

Students must inform their instructor at the beginning of class of any medical conditions or physical limitations that may affect their ability to safely participate in required activities.


10. GENERAL PROVISIONS

Modifications

Community Responders LLC reserves the right to modify these terms at any time. Updated terms will be posted on our website and apply to all future registrations.

Governing Law

These terms are governed by the laws of Arizona.
